Bookings can be made via the company panel and the customer panel.All panels can be logged into via a desktop app or screen app. The App is mobile compliant, that means you can look and work on it from a mobile device. The app will work on any device meaning Apple Android PC, Ipad or similar device. Anything you can browse on the internet. If you can open email you can open this app.

Well if you’re already operating a taxi firm or airport transfer business the best thing to do is make sure your practices and principles are in line. Over 10 to 12 years ago I moved from Kent to Colchester Essex I am originally an Accountant and that’s my qualification but of course moving home and area and a job from the government as

a good accountant in a good position I needed to set up a practice of my own but in support of that I decided to go back to taxi driving. This leads me to tell you a little bit about how well I did in both my self-employed Industries. Whilst I had experience in  taxi driving the best thing I could do in a larger town,  Colchester, was to drive for the biggest taxi firm.The biggest taxi firm will give me the best chance to do well. So I did that but of course I had to get a car I went to see a number of taxi firms operating in the area information that was given to me was always very useful and the one thing that stuck out quite clearly is the initial outlay of the vehicle, you want a reliable vehicle to be used and respected within the industry and last important thing is the car had to be big enough. At the time it was a Ford Mondeo it was the Hatch boot that was fantastic because the Mondeo the Ford Mondeo was a very smart looking car it was a silver car it was four years old so within the taxi licensing you could licence a car within 5 years old. The licence for taxi driving was as a private hire and Hackney but the car licence plate meant you had to be booked and it wasn’t able to be flagged on the side of the road such as Hackney. I decided to work for the largest taxi firm in Colchester at the time it was five 7s.

So as time went on I was out working on the cab’s doing the mornings the evenings and late at night and because I was an accountant I would also work between time doing some books and converting self-employed to limited companies. I had a little radio mounted on my desk where most cab drivers would have this radio in their car only and have to wait for work on the side of the road. I had a couple of wingnuts and attached the radio back in the car when I got a job. It’s quite a palaver but worth doing. The home accountant work I was doing and jobs on the cab 3 or 4 times during the morning and three or 4 times during the afternoon and early evenings. Friday and Saturday nights were good earners. I used to stay up until 3 or 4 in the morning and of course that really made a difference.

 

Now the main thing here I’m trying to explain is that the talk and grow rich scenario does really work in a cabs. With the cabs and accountancy firm operating from home, the more I spoke to people about the interest I have an enthusiasm, the more people just wanted to have my number and call me as a cab driver. I dressed smart, white shirt and black trousers, spoke to my client’s with courtesy, always speak nicely and talk very fluent about things that advance their business and  I’ve always spoke openly about being an accountant, about the job I held in government, about what I intend to do in my business asking what others like or dislike about the taxi business and their business. I have often pondered to do airport transfers and it seems a bit of a heavy job to go out for 3 to 4 hours when I have accountants  to do, however I realised that after I got a lot of work for local driving put out a little advert for a driver, because I was getting enough accountancy work that needed me to stay indoors to complete the work and it was a shame to throw such a decent little taxi business away and it was a support in case my accountancy work went slow.

 

So there I was within three to 4 months having a driver doing local work and I was just picking up the phone and forwarding work. Then I got the driver an extra phone and the driver would pick up his own work and just report back to me weekly of how much was done. I’d have a count up on his mileage and the work would be listed. I knew the calls were coming through as I had a diverting platform for the phones, operating all my calls. Diverted through to many  mobiles when busy and of course the platform  would be the trigger of how many calls I had, the reports downloaded. Keeping the numbers for further advertising, sending texts etc.

 

So as time went on I was gaining cars and after about 5 cars I think within 2 years and drivers to suit, getting quite a bit of local work and the odd airport would come through.I had bought myself a quite nice Mercedes C-Class at the time, now I have owned up to 8 E Class Mercedes, this one was for private use at first.   Airports, initially was not my scene, but, a good idea was amidst and I had to make sure that I got more than one or two airports a day to make it worth its while and the Old adage of charging a little less to get the customers in to the nice car, my Mercedes and then of course lumping the up the fair a little bit to prove your worth, worked well. My Mercedes was licenced by then  and I got loads of work because business airport transfers  liked nice cars and well dressed drivers. It gave them a sense of trust I am sure, as a similar dress code deemed acceptable.  The old story of taking bookings for an airport is obviously very true: you have to take more details for an airport for it to be successful, it takes more time, you need to know the the number of people the amount of luggage, their flight number where they’re being picked up and where they’re being taken and if there are multiple drop offs and then of course there are the people that really are not bothered about the type of car they are hiring are others that don’t even worry about what car its is as long as it gets here and gets us home. Then there is the people that dont worry about how much luggage they have “we will fit in” the truth is,  if they don’t all fit in and the luggage is too much and it doesn’t get them there or the car is a banger,  that’s when you have the problems and if you can’t find them in the airport because they didn’t land that day because they didn’t realise they took off in one country in one side of the 24-hours and land on the other side of the 24-hours meaning the wrong time of the day ie. morning rather than night so all these things that take time and as we all know there is not a lot of money in taxi work let alone airports. Out of action all the way down to the airport sitting on motorway traffic jams and then you’re out of action in the airport when the flight is late and the people are not in the place you expected. Then there are the parking costs.

 

So I decided that it was time to produce a system that would take down the details correctly and In full without failure and causing problems.

I had already plenty of Airport work and so my Idea of just doing airports was thrown into action. It meant better cars, smarter drivers (meaning good thinking drivers and good dress code) and booking automation.

 

All businesses do far better when they specialise – so that is what I decided to do..

 

Obviously the first thing to do was to produce a website with a taxi booking form with the right questions .This form had to be linked to a taxi booking system. This was developed and it took 3 years. In a nutshell without explaining all the little problems that a coder and developer has to do to accomplish, this system still sits today on my website taking bookings and managing allocation to drivers.

I even split this software to operate three websites all at the same time.

I want to now explain the ideal application and what my new operating system includes. The new system developed is called POB2, which stands for Passenger on Board and it’s the number 2 version as the number one was just hard written for one website. I decided to make a second application as I needed a piece of software which is easily transferable and used for new clients, because in business there’s no point in developing or making something or buying something unless you can make some money out of it. This new taxi booking application had to be able to make money for me and of course save time for me to run my own business, but it’s nice to know the application has been developed to be used by multiple taxi operators, at a click of a button, but the main thing here is what it does for your business. I am confident that this application will not only save you money but will make you money.

The main thing that is very useful about this software is that it displays the jobs booked in order, being the top most job is the next job to be  carried out. A job being booked next will go to the top of the table under the job that’s more recent and so on.

The next  rather large task was to allocate the jobs that came in, to drivers, So a button on the company dashboard was needed to take us through to all the drivers available for the work and select a driver for the job. This works really well and technologically this was very easy to accomplish, however, with the advancing AI of today’s world we need to have a little automation and I wanted to go one step further and allow bookings that were made by customers using an app on their phone to make a booking to get straight to the driver, meaning auto allocation.

 

In a nutshell we would then be saving money on staff because customers would book and the job would go straight out for allocation without being processed by staff as we know they are called controllers.

 

This was quite difficult to achieve, however, we now have this facility. So once a customer has booked a job the traditional way, by calling up the cab firm and they have received a booking with a link that will be provided by text and email  to encourage the customer to login in the app and check their booking and of course, familiarise themselves with the procedure to book again by clicking on a D button for duplicate booking, or  simply create a booking button, choosing a set booking and once sent, it will be processed immediately without human interface of a controller.

I know you’re thinking that the best possible way would be to have an app where customers can download, fill out details and submit a booking straight away but we are getting there.

This app I have produced is not as expensive in the production as big firm apps and of course will naturally have some foregiving areas in its development but it works and we are in the business to convert people who use taxis to use electronic procedures called apps to make a booking with us.This will save money and become more efficient and make more money.

 

 The people that make bookings for taxis are mostly those that are used to using telephones. The same for Airport taxis and transfer customers, they want to  pick up the phone and they just want the job done, to tell you over the phone what they want and speak to a real person. You can forget about most of these people using computers at work or mobile phone apps for facebook, they act as if they don’t know computers when booking a cab, because they can not join up the worlds for some reason.

The truth about your business and what you want to achieve, with a really good job, that you’ve done for them, plus they like your car and dress codes your attitude to work ethic, so  when you get a booking through and it’ll say to them please click here to check your booking and that’s needed to make sure the booking is correct and it don’t get messed up and we get things right, they realise it’s the right thing to do and they login and then of course making another booking click on the buttons and reduce your cost. After all you’re a driver and you need to be out there driving, not sitting in the office or stopping on the side of the road making notes about a booking being late on the job you’re on at the moment.

The App I have developed is a progressive App, That means once you have logged in with the provided link a pop up asks “do you want to save to screen or desktop?” for easy access next time. See that’s it, it’s now just like a normal app!

You know the best thing to happen after a long return from an Airport run. You open up your phone after having a nice cup of tea prepared for you and see a new booking sitting there, waiting to be accepted by a driver or already been accepted by a driver. That means you’ve just made some more money, more than a normal booking because you have not needed to sit there and waste your time writing out a booking and then transfer the details to a driver and maybe finding that some of the booking details are incorrect through Chinese whispers.

Most mistakes are made through bad connection signals or transferring of information. The best thing about an application or a web app or an email or an automated text is that the source information, that is, I mean the information that the customer has told you is correct because it is written by the customer, that way it’s more than likely to be correct and if it’s not correct and something goes wrong, it can be proven that the customer was at fault and not you because they wrote it and sent the information and checked the information that means you keep your money because you or your driver turned up when asked, as said on the details that they wrote.

We are improving this app as with all technology it will improve all the time.

For now we can make bookings, store them in the cloud, in order as they need to be done, we can allocate to drivers, auto allocate to all available drivers, text and email notifications are received by drivers on allocation, drivers have to accept or reject, customers receive notifications by text and emails of drivers and job details booked, customers can book from their apps, customers can make duplicate bookings, customers can cancel bookings and so can company.

 

You can produce driver reports for commission payments from the driver or company login in a couple of clicks saving hours of working out payments to drivers from the diary.

You can add customers via the company panel,  on the fly, that means go straight into a booking with a new customer and the system stores all details for auto populate on the next booking. Company Panel can add customers, building up a database for later use.

  • The Company Panel can add images for drivers, change the Drivers passwords and send a link to login for drivers.
  • Drivers can upload an Image on their loggin.
  • Customers can upload an image on their login and this will be seen on the company and driver panel for easy id on customer pickup.

This system is set up to handle payment processors in the future. Work is progressing on SMTP authentication for emails to be considered not spam when sent. Quotation emails are set and will shortly work, where customers will be sent a quote by email which includes a payment link and once the customer has paid the booking becomes live.Website integration is in hand and due to be completed. Company dashboard has many small tools to be improved for efficiency. Tracking of driver apps logged in will be part of the future.

  • Every time a booking is allocated to a driver a text message is sent out and then when a driver accepts, another text is sent to the customer. That’s two text messages per booking.

There is email as well and if needed the texts can be switched off and email can be the only notifications, but text is instant 99% of the time and 20p is far better than 10 minutes on the phone discussing a booking when you could be driving. Plus this is much lower than staff costs when it gets going.
